How to Give Accurate Quotes Without a Site Visit

How home service businesses quote accurately from photos and video instead of driving out: what to ask customers for, how to measure, and when a visit is still worth it.

Every estimate drive costs you fuel, time and a slot you could have spent on paid work, and the customer often goes with whoever answered first anyway. Remote quoting fixes both problems. Here's how to do it accurately.

Know what your drive-outs cost

Multiply estimates per week by the minutes each one takes (drive plus walk-through), then by what an hour of your time is worth. Ten estimates a week at 45 minutes each is about 32 hours a month. At $50 an hour, that's roughly $1,600 of your time every month, before fuel.

Ask for the right photos

  • Shoot from a corner or from the street so the whole area is in frame.
  • Include something of known size: a door, a car, the garage door.
  • One photo per surface or area, plus a close-up of anything unusual (stains, damage, tight access).
  • For repairs, a close-up and a step-back shot, plus labels and shut-off valves.

Measure from the photos

Use the known-size objects as rulers and work in ranges: "about 610 to 640 sq ft" is more honest, and safer to price from, than a single number. Quote from the top of the range when in doubt.

Price it the same way every time

Keep a simple price list per unit (per square foot, per foot, per window, per load) with a minimum and a trip fee. Consistent math means consistent quotes, and customers trust a flat, all-in price.

Know when to still go look

  • The photos don't show the whole job, or there's no ruler in frame.
  • There may be hidden damage: leaks, rot, electrical problems.
  • Very large or commercial jobs where a mistake is expensive.

Make it automatic

RayQuote turns this into a one-minute workflow: customers open your photo link, follow photo tips for their job, AI measures with ranges and a confidence level, your price list works out the price, and you approve and text it. It flags jobs that need a visit instead of guessing. Plans start at $49/month with a 14-day free trial.

FAQ

Are photo quotes accurate enough to commit to?

For most exterior cleaning, hauling, yard and painting jobs, yes, as long as the photos include a ruler and you quote from the top of the measured range. Add a line saying the price assumes the job matches the photos.

What if the job turns out bigger than the photos showed?

Say up front that the price is based on the photos. If the job is clearly different on arrival, adjust before starting. With clear photo tips this is rare.
